RoamDog provides the booking platform. Spaces are owned and run by independent businesses, who accept responsibility for their own land, and dog owners stay responsible for their dogs. These are the documents everyone agrees to.

Platform terms of use

RoamDog is a booking platform. Spaces are owned and run by independent businesses; your contract for the visit is with that business.

1. Our role
RoamDog Ltd operates a marketplace and booking software. We are not the owner, occupier or operator of any space, we do not supervise visits, and we do not inspect fencing or facilities. The booking contract for a visit is between you and the space owner. RoamDog acts only as a limited payment collection agent for the space owner.
2. Your account
You must be 18 or over to book, give accurate information, and keep your login secure. You are responsible for everything done under your account, including bookings made for other people or by anyone you bring with you.
3. Bookings, prices and payment
Prices, session lengths, dog limits and cancellation terms are set by the space owner and shown before you pay. RoamDog charges the space owner a commission on each booking and, where applicable, a subscription fee. Card payments are processed by Stripe under their terms.
4. Cancellations and refunds
Each space publishes its own cancellation window. Refunds are calculated against that policy at the moment you cancel. Where a space owner cancels, or a space becomes unusable or unsafe, you are refunded in full.
5. Access details
Gate codes, key-safe codes, what3words locations and arrival instructions are confidential. They are released shortly before your session and must not be shared, recorded publicly or reused outside your booked time.
6. Acceptable use
Do not misuse the platform: no false reviews, no scraping, no attempting to take bookings off-platform to avoid fees, no unlawful, abusive or discriminatory behaviour, and no uploading content you do not own. We may suspend accounts that break these rules.
7. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot be limited under UK law. Subject to that, RoamDog is not liable for the condition of a space, the conduct of any dog or person at a space, escape, injury, illness, theft or property damage occurring during a visit. Our aggregate liability to you for any claim connected with a booking is limited to the platform fees we received for that booking.
8. Data protection
We process personal data as described in our privacy notice, under UK GDPR. Space owners receive the booking details they need to host you (your name, contact details, dog details and any notes you send). Waiver acceptances are retained as a record of consent.
9. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, unless you live in Scotland or Northern Ireland, in which case you may also bring proceedings there.

Dog owner waiver and space care agreement

Accepted at checkout for every booking. You stay responsible for your dogs, and you agree to leave the space as you found it.

1. Responsibility for your dogs
You remain in charge of, and legally responsible for, every dog you bring, at all times, including under the Animals Act 1971 and the Dangerous Dogs Act 1991. You confirm that no dog you bring is subject to a control order, is a banned breed, or is known to be aggressive towards people.
2. Health, vaccination and welfare
You confirm your dogs are fit and well, appropriately vaccinated or protected, free from known contagious illness, and not in season where the space owner asks that they are not. You will not leave a dog unattended in a vehicle or in the space.
3. Dog numbers
You will bring only the number of dogs you booked and paid for, and never more than the space's stated maximum. Extra dogs may be refused entry without refund, and the space owner's insurance may not cover them.
4. Use of the space
You will arrive and leave inside your booked time, check gates are closed and latched on entry and exit, keep to the area you have booked, follow the space's house rules and safety notes, and not let anyone else in during your session.
5. Leaving the space as you found it
You will pick up and remove or bin all dog waste, take away your litter, close and secure gates, not damage fencing, equipment, planting or livestock fencing, and report any damage or hazard you notice to the space owner straight away. You are responsible for the cost of repairing damage you or your dogs cause.
6. Risk acknowledged
Off-lead exercise carries risk. No space can be guaranteed escape-proof. You accept the risk of injury to you, your dogs and your property arising from using the space, other than loss caused by the space owner's own negligence or breach of their duties as occupier.
7. Access details
Gate and key-safe codes, precise locations and arrival instructions are confidential to your booking and must not be shared or reused.
8. Children and other people
Anyone you bring is your responsibility, and you will make sure they follow this agreement. Children must be supervised at all times.

Space owner agreement

Accepted once by every space owner before a listing can go live. You are the provider of the space and accept liability for it; RoamDog only provides the booking platform.

1. You are the provider
You contract directly with each customer for their visit. RoamDog is not a party to that contract, does not operate, occupy, inspect or supervise your space, and gives no warranty about it to customers on your behalf.
2. Liability rests with you
You accept full responsibility and liability for your space, its fencing, gates, surfaces, water, equipment, parking, access route and anything you supply, and for any loss, injury or damage arising from them or from your acts or omissions. You will not represent that RoamDog carries that liability.
3. Indemnity
You indemnify RoamDog Ltd and its staff against claims, losses, fines and reasonable costs arising from your space, your bookings, your compliance failures, or your breach of this agreement, except to the extent caused by RoamDog's own negligence or breach.
4. Keeping the space safe and maintained
You will keep the space secure, clean and maintained: inspect and repair fencing, gates and latches, keep the ground and any equipment in safe condition, remove hazards, keep waste bins emptied, control ragwort and other harmful plants, and clear the space between bookings so each customer arrives to the standard advertised.
5. Insurance, permissions and compliance
You confirm you hold appropriate public liability insurance for commercial dog-space hire, that you own the land or have the owner's written permission and any planning, licensing or tenancy consent required, and that you comply with applicable UK law including health and safety, occupiers' liability, animal welfare, waste and data protection.
6. Honest listings
Your listing must be accurate and current: fence height and type, gating, enclosure, hazards, neighbouring land, facilities, acreage, dog limits and photographs of the actual space. You must not overstate security or claim a space is escape-proof.
7. Dog limits and availability
You set the maximum number of dogs permitted per booking, and the days and times you are open. You must honour confirmed bookings within your published availability, and keep availability and closures up to date so customers are not double-booked or turned away.
8. Customer data
Customer and dog details are shared with you only to host the booking. You are a controller of that data, must keep it secure, must not use it for unrelated marketing without consent, and must delete it when no longer needed.
9. Fees and payouts
RoamDog deducts a commission from each booking taken through the platform, plus any subscription you choose. Payouts are made to your connected Stripe account. You are responsible for your own tax, including any VAT.
10. Cancellations, refunds and conduct
You will publish and honour a fair cancellation policy, refund customers in full where you cancel or the space is unusable, respond to booking messages promptly, and treat customers fairly and without discrimination. Repeated cancellations, unsafe conditions or misleading listings may lead to suspension.
11. Term and governing law
Either side may end this agreement at any time, but confirmed bookings must be honoured or refunded. This agreement is governed by the law of England and Wales.

What we collect, why, and how long we keep it, under UK GDPR.

What we collect
Account details (name, email, phone, postcode), dog profiles, bookings and payments, reviews, waiver acceptances, and technical logs needed to run and secure the service.
Why we use it
To take and manage bookings (contract), to keep spaces and dogs safe and prevent misuse (legitimate interests), to meet legal and accounting duties, and for marketing only where you have opted in.
Who we share it with
The space owner you book with, Stripe for payments, and our hosting and email providers acting on our instructions. We do not sell personal data.
How long we keep it
Booking, payment and waiver records are kept for six years for legal and insurance reasons. Other account data is deleted or anonymised when you close your account.
Your rights
You can access, correct, export or delete your data, object to processing, or withdraw marketing consent, by contacting us. You can also complain to the ICO.
